Client Roster
The Client Roster is your historical record of every client who has ever submitted an event request or completed a booking through DJfindr. Accessing the Roster Navigate to Calendar & Bookings → Client Roster. What You'll See Each entry in your client roster shows: - Client Name — The name on their DJfindr account. - Event History — A summary of all events they have booked with you. - Last Contact Date — When you last exchanged messages. - Total Spend — The cumulative amount the client has paid you across all bookings. - Review Left — Whether they have submitted a review after a completed event. Using the Roster - Search & Filter — Find a specific client quickly by name or date. - View Event History — Click into any client record to see all their past and active events with you. - Contact Client — Initiate a new message directly from their roster profile. Client Relationship Manager (Platinum) Platinum subscribers unlock the full Client Relations Manager (CRM) capabilities: - Add private internal notes to client profiles. - Tag clients (e.g., "VIP," "Wedding," "Corporate"). - Set follow-up reminders. - View a client's full timeline of interactions across messages, proposals, and payments. Tip: Nurturing client relationships leads to repeat bookings. Use the roster to identify past clients who may be planning another event.
GigGuard Protection
GigGuard is DJfindr's exclusive protection program for DJs on the Platinum Plan. What is GigGuard? GigGuard ensures that you are protected against unexpected client cancellations, chargebacks, and no-shows. When a client books you through an official DJfindr Event Proposal and pays securely via Stripe, GigGuard guarantees your payment according to your cancellation policy. How it Works 1. Always Use Event Proposals: GigGuard only covers events booked and paid for through DJfindr Event Proposals. Off-platform agreements or PayLinks are not covered. 2. Enforce Your Policy: If a client cancels outside of your permitted cancellation window, GigGuard automatically enforces the penalty (e.g., retaining the non-refundable deposit). 3. Chargeback Protection: If a client attempts a fraudulent credit card chargeback after you have successfully performed the event, DJfindr's dedicated dispute team will fight the chargeback on your behalf using the signed Event Proposal as evidence. Platinum DJs are protected from the financial loss during the dispute process. Best Practices for GigGuard - Keep all communication within the DJfindr Inbox. Written records of client agreements, extensions, and logistics are critical evidence if a dispute occurs. - Ensure your Cancellation Policy is clearly written in your Profile Settings, as this is what GigGuard enforces. - Mark events as Complete in your dashboard immediately after the performance.
Event Proposals
An Event Proposal is DJfindr's core booking document — it functions as both a rate quote and a binding contract between you and your client. Every confirmed gig on DJfindr flows through an Event Proposal. The Event Proposal Lifecycle Every proposal moves through a defined status sequence: | Status | What It Means | |---|---| | Event Requested | Client submitted an event request. Review the details. | | Create Offer | You have accepted the request and are now building the proposal. | | Offer Sent | The proposal has been sent to the client for review. | | Offer Rejected | The client declined the terms — you may revise and resend. | | Awaiting Payment | Client accepted the offer; waiting for deposit/full payment. | | Event Confirmed | Payment received. The event is officially booked on your calendar. | | Event In Progress | The event is currently happening. | | Event Complete | The event has ended. Client is prompted to leave a review. | | Event Dropped | The proposal was abandoned before reaching Confirmed status. | | Event Canceled | A confirmed event was subsequently canceled. | | Expired | No action taken within the allowed window; auto-closed. | Responding to a New Event Request When a client submits a request: 1. Navigate to Calendar & Bookings → Events (or check your Inbox). 2. Open the event request to review: event date, time, location, event type, and the client's notes. 3. Choose Accept (to begin building an offer) or Decline (with an optional reason for the client). Building an Event Proposal After accepting a request: 1. Navigate to the event and click Create Offer. 2. Fill out the four sections of the Proposal Builder: 1. Service Rate The base charge for the primary block of performance time the client requested. 2. Event Extras Line items for add-ons discussed with the client — lighting equipment, fog machines, travel fees, early setup, sound system, etc. Each extra appears as a distinct charge on the client's invoice. 3. Payment Terms Choose how the client pays: - Full Payment Upfront — The client pays 100% immediately to confirm the booking. - Deposit Now, Balance Later — A portion is due now to hold the date; the remainder is automatically charged closer to the event. - Custom Split — Define a custom percentage for the deposit. 4. Cancellation Policy Your cancellation policy text (configured in your Profile Editor settings) is automatically included. You can also set how many days in advance a cancellation is permitted without penalty. Sending and Managing the Proposal - Click Send to Client to deliver the finalized proposal. - The client receives an email notification and can review the full terms, line items, and total cost in their DJfindr account. - Once they accept and pay, the event status moves to Event Confirmed and the date is automatically blocked on your calendar. Proposal Extensions If a client wants to extend the performance time on the night of the event: 1. From the active event, click Add Extension. 2. Specify the additional time and your overage rate. 3. The client approves and pays the extension charge in real time. Note: Event Proposals require your Stripe account to be connected and active before you can receive payments.
Calendar Management
Your DJfindr calendar is your live availability system. Clients can only submit event requests for dates that are open on your calendar — so keeping it accurate prevents double-bookings and protects your schedule. Viewing Your Calendar Navigate to Calendar & Bookings → Calendar. Use the view toggle in the top-right corner to switch between: - Month View — High-level seasonal overview; see which days are blocked or booked at a glance. - Week / Multi-Day View — Granular hour-by-hour availability; ideal for busy weekend planning. - Agenda View — A chronological list of all upcoming confirmed events and manual calendar blocks. Manually Blocking Time If you have a personal commitment, an off-platform gig, or simply want a day off: 1. Click on a specific date, or click and drag across multiple dates. 2. Select Block Dates. 3. Enter an optional internal title (e.g., "Private Wedding," "Vacation," "Studio Session"). 4. Confirm the block. Blocked dates display visually on your calendar and prevent clients from selecting those dates when submitting new event requests. The reason/title is only visible to you — it does not appear on your public profile. Calendar Block Types Blocks created on your calendar can originate from multiple sources: - Manual — Created by you directly in the calendar interface. - API Push — Synced automatically from a connected external calendar (Google Calendar, Apple Calendar). - Event Confirmed — Automatically blocked when a client accepts an Event Proposal and completes payment. External Calendar Sync (Pro & Platinum) Manually blocking dates becomes tedious for busy DJs. Pro and Platinum subscribers can connect external calendars: 1. Navigate to Settings → Integrations. 2. Click Connect next to Google Calendar or Apple Calendar. 3. Authorize DJfindr to read your calendar events. 4. Any event marked Busy on your external calendar will automatically sync as a block on your DJfindr calendar within minutes. 5. If you delete or reschedule an event on your phone, DJfindr updates automatically. Important: Calendar sync is one-directional: external events block DJfindr dates. Confirmed DJfindr events do not automatically appear on your Google/Apple calendar — you must add those manually or use the ICS export feature.
