Under **Content → Profile → Policies** are three fields that appear on your public profile and become defaults on every proposal.

## Cancellation Policy

Free text explaining how you handle cancellations. It shows in the **Policies** tab of your profile.

Write it plainly. Clients read this while deciding between you and someone else, and dense terms read as a warning.

> Events can be cancelled up to 30 days before the date for a full refund. Within 30 days, the deposit is retained. If you need to move the date, get in touch — I'll always try to accommodate a change rather than a cancellation.

That last sentence does more for your booking rate than anything else on the page. It signals you're reasonable.

## Cancellation Period

The number of days before an event a client can still cancel for a full refund. Your profile renders it as *Events can be canceled N day(s) in advance.*

This seeds the **Cancelable Until** date on each proposal, where you can adjust it per booking.

### Choosing a number

Ask: by what point would it be too late for me to refill this date?

- **14 days** is relaxed and works if you get short-notice bookings
- **30 days** is a common middle ground
- **60 days or more** suits DJs whose work is mostly weddings booked far ahead

Too short and a late cancellation costs you a date you can't refill. Too long and you lose bookings to a DJ whose terms feel more reasonable.

## Travel Cost

Your default charge for getting to a venue. It becomes the **Travel & Logistics** line on proposals, adjustable per booking.

Set it for a typical journey in your area. For anything further, the proposal builder's travel calculator works out the real distance. See [Using the Travel Calculator](/hc/djs/articles/1786139293-using-the-travel-calculator).

Build in more than fuel — your time, tolls, parking, and whether you can get home afterwards.

## Why these matter more than they look

A client comparing two similar DJs will often pick the one whose policies are clear. Empty policy fields show placeholders on your profile like *This DJ has not provided their cancellation policy* — which reads as either disorganised or as something to be negotiated later.

## Backing them up

For anything you want signed rather than stated, attach the **Cancellation & Refund Policy** document to your proposals. See [The 8 Document Templates, and What Each Covers](/hc/djs/articles/1786139747-the-8-document-templates-and-what-each-covers).
